CourtBook ("we," "us," or "our") operates the CourtBook platform, which connects sports facility owners with players who want to book courts online. This Privacy Policy explains what personal data we collect, why we collect it, how we use it, and your rights regarding that data.
By creating an account or using CourtBook, you agree to the practices described in this policy.
1. Information We Collect
1.1 Information you provide directly
- Account details — your first name, last name, email address, and password when you register.
- Phone number — collected during customer registration for booking-related contact.
- Facility information — for facility owner accounts: facility/business name and related details you enter on your dashboard.
- Booking details — the courts, dates, and time slots you book.
- Payment references — GCash or Maya transaction references you submit when paying for a booking. We do not store credit card or full payment account numbers.
- Reviews & testimonials — content you voluntarily submit as ratings or written reviews of facilities.
1.2 Information collected automatically
- Usage data — pages you visit, actions you take, and timestamps of those actions within the platform.
- Device & browser data — browser type, operating system, and IP address, collected through standard web server logs.
- Cookies — session cookies required for authentication and a
facilitySlugcookie that remembers which facility page you arrived from so we can redirect you there after login.
2. How We Use Your Information
- To create and manage your account.
- To process and confirm court bookings.
- To send booking confirmations, reminders, and password-reset emails.
- To allow facility owners to view and manage their bookings and customers.
- To send subscription-related notifications to facility owners (trial expiry, billing reminders).
- To improve and maintain the platform.
- To comply with legal obligations.
We do not sell your personal data to third parties, and we do not use it for advertising purposes.
3. How We Share Your Information
- Facility owners — when you book a court, the facility owner can see your name and contact details so they can confirm your booking and assist you on-site.
- Service providers — we use third-party providers to deliver transactional emails (currently Brevo). These providers only process your data on our behalf under data processing agreements.
- Legal requirements — we may disclose data if required by law, court order, or to protect the rights and safety of CourtBook, its users, or the public.
4. Data Retention
We retain your account data for as long as your account is active. If you request deletion of your account, we will remove your personal data within 30 days, except where retention is required by law or needed to resolve ongoing disputes.
Booking records may be retained for up to 2 years for accounting and dispute-resolution purposes, with personally identifying fields removed where possible.
5. Cookies
We use the following cookies:
- Authentication cookie — a session cookie that keeps you signed in. It is cleared when you log out or close your browser (unless "Remember me" is selected).
- CSRF token — a security cookie that prevents cross-site request forgery on form submissions.
- facilitySlug — a short-lived cookie that records the facility page you arrived from so we can redirect you there after login or registration. It does not track you across other websites.
We do not use third-party analytics or advertising cookies.
6. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access the personal data we hold about you.
- Correct inaccurate or incomplete data.
- Request deletion of your data ("right to be forgotten").
- Object to or restrict certain processing.
- Receive a copy of your data in a portable format.

7. Data Security
We implement industry-standard security measures including HTTPS encryption in transit, bcrypt password hashing, and periodic security reviews. No method of transmission over the internet is 100% secure; we cannot guarantee absolute security, but we take reasonable steps to protect your data.
8. Children's Privacy
CourtBook is not directed at children under 13 years of age. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us and we will delete it promptly.
9. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. If we make material changes, we will notify registered users by email. Continued use of the platform after changes are posted constitutes your acceptance of the updated policy.
